Fire Drill Policy

FIRE DRILL POLICY

1. Purpose

The purpose of this policy is to ensure the safety of all South Georgia Institute students, faculty, staff, and visitors by establishing clear procedures for conducting fire drills and ensuring compliance with local and state fire codes. Regular fire drills are essential to prepare the campus community for a safe and orderly evacuation in the event of a fire or other emergencies requiring evacuation.

2. Scope

This policy applies to all SGI-owned or -leased facilities, including academic buildings, administrative offices, residence halls, athletic facilities, and student services locations.

3. Responsibilities

  • SGI Security Department is responsible for planning, coordinating, and documenting all fire drills.

  • Building Coordinators and Resident Advisors (RAs) are responsible for assisting with the evacuation process and reporting compliance.

  • All occupants of SGI facilities are required to participate in fire drills.

4. Frequency of Fire Drills

  • Residence Halls: Fire drills must be conducted once per semester (minimum of two per academic year).

  • Academic and Administrative Buildings: Fire drills must be conducted at least once per academic year.

  • Special Events or Summer Programs: Temporary occupancy buildings must have at least one fire drill during their period of use.

5. Fire Drill Procedures

  1. Alarm Activation:
    The fire alarm will be sounded by Campus Safety or Building Coordinators to initiate the drill. No prior notice will be given to simulate real emergency conditions unless pre-approved for accessibility reasons.

  2. Evacuation:

    • Upon hearing the alarm, all occupants must immediately cease all activities and evacuate the building using the nearest and safest exit.

    • Elevators must not be used during the evacuation.

    • All individuals must gather at the designated assembly area located a safe distance from the building.

    • Persons with disabilities will be assisted by assigned staff or the designated emergency team.

  3. Accountability:

    • RAs or designated staff will perform headcounts at assembly areas.

    • Any missing persons should be reported to the SGI Security Department immediately.

  4. All Clear:

    • The SGI Security Department or local fire officials will give the official “All Clear” signal before re-entry into the building is allowed.

6. Documentation and Compliance

  • A written record of each fire drill shall be maintained, including the date, time, location, duration, and observations.

  • Reports will be reviewed by SGI Administration and used to identify areas for improvement.

  • Non-compliance by individuals may result in disciplinary actions in accordance with SGI student or employee conduct codes.

7. Training and Awareness

  • Fire evacuation procedures will be reviewed during student orientation and employee onboarding.

  • Fire safety training, including use of fire extinguishers and emergency protocols, will be offered periodically.

8. Policy Review

This policy will be reviewed annually by the SGI Emergency Management Committee and updated as needed to comply with applicable safety regulations and best practices.
